Creating a Survey

To create a new survey, click on the “+” symbol in the survey overview. A window opens in which you can:

 

 

  • Survey Name: Give the survey a name.
  • Start and end date: Set the start and end dates.


After clicking on “Save” you will be taken to the survey editor, where you can make further settings:

 

 

  1. Select questionnaire: Select the desired questionnaire or create a new questionnaire in the questionnaire editor using the "+" symbol. ( Questionnaire editor )
  2. Survey method: Choose between “email invitation” and “online code” (for employees without email or PC access).
  3. Email template: If you choose the Email method, you can select an invitation template or create a new template in the email editor ( Email options ).
  4. Anonymity: Determine whether the survey results are displayed anonymously. If anonymity is selected, the evaluation can only begin once all invited employees have completed the survey.
  5. Questionnaire language: Specify the language for the survey. This setting affects the title and description, but not the content of the questionnaire itself.


After clicking “Next” you can invite individual employees and groups to participate:

 

 

1. Add employees and groups: Use the search function or drag and drop names into the participant list.
2. Remove participants: The trash can icon removes employees from the survey.
3. Add email addresses and employee numbers: Enter addresses and numbers separated by commas.
4. External persons: You can add Evalea external persons to the survey by entering their email addresses and confirming with Enter. 
 

Notice

External persons can also participate in the survey if their email address is stored.
After saving, you can continue editing the survey until the start date or start it manually.

 

 

Surveys for employees without an email address

If you choose “Online Code” as your survey method, you will see the following options:

 


1. Password: Password for the portal link.
2. Portal link: Link to the survey that requires a password.
3. Direct link: A link to the survey that does not require a password.
4. QR code: Download a QR code that employees can scan to complete the survey.


After creation, you will find the survey in the overview. Clicking on it shows the details and enables further actions:

 


1. Send reminder: Sends a reminder to participants who have not yet completed the survey.
2. Start manually: Starts the survey manually.
3. Stop manually: Stops the survey manually.
4. Show results: Shows the results of the survey.


Important: Once a survey has started, it can no longer be edited. If changes are necessary, stop the survey and create a new one. You have the option of adding additional employees during the survey period. These latecomers will receive an invitation with the relevant link to the questionnaire by email over the next 24 hours.
 

Evaluating a Survey

 

A survey can be evaluated as soon as all participants have responded, the survey has been stopped manually or the end date has been reached.

 

 


1. Overall results and filters: The pie chart symbol takes you to the results overview. Here you can filter between individual and overall results and, if necessary, show or hide the company-wide benchmark.

 

 


2. Share results: Email the results to participants or other relevant people.

 

 


3. Export function: The results can be exported as an Excel or PDF file.
4. Notes: Your previously saved notes are displayed here.


The evaluation shows an overall average of all closed questions and detailed answers to open and closed questions.

 

Questionnaires

 

 

Surveys can use either Evalea templates or questionnaires you have created yourself. In the left main menu you will find the "Surveys" submenu and the option to create or manage questionnaires.

Questionnaires for 360° feedback are managed within the “360° Feedback” add-on.
