Set Reminders

Reminders allow you to send emails before or after the training requirement expires.
By clicking on the reminder icon, you have the option to create and manage the emails per training requirement:

 

The reminder overview for the selected training requirement will then open. Click on the “+” sign to create a new reminder. You can create as many reminders as you like for each training requirement:

 

 

 

  1. Name of the reminder. This is only visible to you and serves as an overview
  2. Specify the recipient group: the employee who assigned the training obligation, his or her manager or an alternative recipient.
  3. Enter the number of days after (positive numbers) or before (negative numbers) the expiry of the training requirement validity.
  4. Specify the interval at which the message should be sent: Never repeat, daily, weekly, or monthly.
  5. Formulate the subject of the message that will be sent.
  6. Compose your email.
  7. Using placeholders, you can automatically generate the name of the employee, the name of the mandatory training type and the number of days the validity is overdue.
  8. Clicking Save creates the reminder.

 

The training requirement is valid from the time the training requirement is assigned . This means that reminders can be sent even if the employee has not already completed/attended a mandatory training course.

 

If you would like to remind employees before their training obligation expires, it is advisable to point out that e-learnings can be reset manually.

 

 

 

Example: Reminders after Completing an Obligatory Training Session

A message should be sent to the participants 7 days before the training period expires :

 

 

 

A message should be sent to the participants 14 days after the training requirement expires . This message should be sent weekly until the training requirement is fulfilled again:

 

 

 

 

Escalation reminder to managers:

14 days after the expiry of the validity, the respective manager should also be informed about the training obligation that has not yet been fulfilled:

 

Example: Reminders before Conducting an Obligatory Training Session

Reminders can also be used for employees who have never fulfilled the training requirement.
The “from” date is used for this purpose. This refers to the date from which the training requirement was assigned to the employees.
