Interview routines

Interview routines are used to automatically create recurring interviews, such as annual discussions or other regular interview formats. With this function, you can create interviews for several employees at the same time at a set rhythm.


Access to the routines function

You can find the routines function in the “Interview” tab in the main menu on the left. Open the interview for which you want to create a routine.
 

Routine overview

In the routine overview you can see:

  • Future routines: All planned routines are displayed here.
  • Completed routines: Keep track of the routines you have already completed.
  • Create new routines: Click the “+” icon to create a new routine.


Creating a routine

After clicking on the “+” symbol, a pop-up window opens with the following settings:


1. Name: Give the routine a name. This name will also be used for all interviews created. For easier identification, the date in MM/YYYY format is automatiinterviewsy added after the interview name.


2. Time period: You can specify whether the interview is created once or annually. Alternatively, you can have the interview created based on a specific date in the employee profile or a set number of days after the last interview date (examples below).


3. Date: Specify the date on which the interviews should be created.

A notice:

The routine will run at 8:00 a.m. on the selected date. Routines scheduled for the same day after 8:00 a.m. must be postponed until the following day.

 

4. Who should be set for additional confirmation?: Here you can specify a person to be set as additional confirmation for the routine.


5. Filter: Define for which employees the routine should be created. The filters "Status in Evalea = active" and "Assigned to manager" are activated by default, since interviews can only be created for active employees with an assigned manager. If a competency assessment is included in the guide, the filter "Assigned to competency profile" is automatiinterviewsy added.

  • Add more filters: Use the “+” sign to set additional filters, such as:
    • Role: Create interviews for a specific role.
    • Custom Field: Create only for employees with a specific entry (e.g. “Department” or “Location”) in the employee profile.
    • Group: Create interviews for specific groups you create.
    • Competency profile: Create only for employees with a specific competency profile.

Notice:

You can combine the filters as you wish, for example to create interviews for employees in a group with a specific competency profile.

 

 

Examples of routines

1. Annual interview: On March 31, 2022, all employees with the role of “Participant” will receive a interview interviewsed “Example interview”. The respective manager will also receive a notification and invitation.
2. End of probationary period interview: Interviews are automatiinterviewsy created 7 days after the end of the probationary period.
3. Feedback interview after entry: Interviews are created 21 days after the specified entry date.
4. Exit interview: Interviews are arranged 7 days before the exit date.
5. Monthly feedback meeting: Meetings are held 30 days after mutual confirmation of the last meeting using the same meeting guide.
 

Management and reminders for routines

  • After a routine has been created, it is displayed in the routine overview, including the number of employees affected.
  • You can edit or delete existing routines using the gear icon.
  • For each routine that has been completed, reminders can be sent to all participants who have not yet completed the interview.

 

Note on routine creation:

The number of interviews actually created in the "Running routines" overview may be lower than the number specified in "Routines". interviews are not created if no manager is assigned or (in the case of competency assessments) no competency profile is stored.
