Impulses

Impulses are helpful tools for evaluating further training through surveys or for providing targeted information to employees.

Creating an Impulse

You can create a new impulse using the + symbol below the impulses. A menu will then open in which you can set the following options:

 

  1. Impulse type : The type of impulse depends on the module used and includes: evaluations, auto-feedback, email impulses and Outlook invitations
  2. Survey method : Determine how the invitation to the survey will be communicated: online code, email
  3. Send Date : Set the start date of the pulse.
  4. End date : Define when the stimulus ends automatically. Participants can no longer take part in surveys after this date.
  5. Target group : Determine whether the stimulus is intended for all participants, only for the participants' managers or for the trainers of the training.
  6. Send to : Within the target group, you can select specific participants, such as all, participants only, cancellations, waiting list participants, etc.
  7. Questionnaire : Select a questionnaire for participants to fill out. You can use either Evalea standard questionnaires or your own questionnaires. (For more information, see the Questionnaire Editor ).
  8. Message : Create an invitation for the survey or choose a saved message. For more information on creating one, see:

By clicking on Save the impulse is created.

Notice:

A training course without impulses is automatically marked as completed on the same day at 7:00 p.m.
Otherwise, the following applies: A further training course is completed as soon as all impulses have been completed.

 

Management of impulses

After creation, all impulses are included in the training. The functions in the impulse area include: 
 

 

  1. Preview of the sent questionnaire.
  2. Send test message: Enter your email address to receive a test message.
  3. Start pulse manually 
  4. Edit impulse: This is only possible as long as the impulse has not yet started.
  5. Send reminders: Send reminders to participants who have not yet completed the questionnaire. You can decide who the reminder is sent to and see the date and number of reminders so far. (Further customization of reminder emails is possible under Email Options ).
  6. End pulse manually 
  7. Add results manually: After a pulse has ended.
  8. Print questionnaire 
  9. View results overview 
  10. Deleting impulse: This is only possible as long as the pulse has not yet been started. 

 

Evaluations

Evaluations are one of the most common types of stimulus and can be used in different phases:

  1. Reaction phase: Immediate feedback after training.
  2. Transfer survey: To measure the sustainable implementation of content.
  3. Prequestionnaire: To determine the level of knowledge and expectations.

Notice:

  • E-mail: An e-mail with a link to the survey that you have previously defined in Settings → E-mail options will be sent.
    In addition, the prompt appears within the dashboard element “Tasks”, from where the survey can be carried out
  • Online code: A QR code, a direct link or a link with an additional password can be generated
  • Print: The questionnaire can be printed out. The impulse is only completed after the results have been entered manually.

Each evaluation is linked to a questionnaire, which you can select either as an Evalea standard questionnaire or one you have created yourself. The questionnaire editor is described in the Questionnaire Editor chapter.

To improve the response rate, you can send a reminder manually using the reminder button or define an automatic reminder using a standard .

Auto-feedback

With Auto-Feedback, you can automatically send evaluation results on a specified date to one or more target groups, such as participants, their managers or trainers.

  • Using the + symbol you can also add external email addresses, e.g. yourself as HR, to also receive the auto-feedback.

 

Notice:

Starting an auto-feedback impulse ends the associated survey, regardless of whether the end date of the survey is after the auto-feedback sending date.

 

 

Messages

With message impulses you can send important information to participants and trainers before, during or after the training.

Creating a message

 

  1. Select impulse type : Select the email message as the impulse type.
  2. Set target audience : Determine whether the message is sent to all participants, only to their managers, or to the trainer. You can also add an additional recipient group (“Others”).
  3. Set shipping date : Define the exact shipping date.
  4. Start manually : If you want to send the message manually at a flexible time, select Start manually . In this case, the send date will be grayed out.
  5. Send to : Specify whether only attendees with a specific status, such as "Cancelled," should receive the message.
  6. Always send to new participants : If you want participants added later to also receive the message, enable this option.
  7. Compose message : Write your individual message in the text window or load a saved template.
  8. Set subject : Enter the subject of the email.

Formatting message content

Within the text field you can:

  • Use placeholders: Placeholders allow you to personalize your texts
  • Add images : These will be displayed directly.
  • Project Deadline : Define start and end times as calendar blockers.
  • Add attachments : Select files, such as certificates of participation, either individually for each recipient or as a bulk file.

Save message as a template

To reuse a message for future training courses, click Save as template , give it a name and save the template. You can then use it for new training courses and edit it further by clicking Load template .
