Creating a Competency Profile
Competency profiles consist of several competencies and can be created company-wide or specifically for certain positions or departments. You can find an overview of all competency profiles in the main menu under the “Competencies” tab.
To create a new competency profile, click on the "+" symbol in the competency profile overview. An input window opens with the following fields:

- Competency profile name: Name the competency profile.
- Specify area (optional): Area to which the profile is assigned.
- Department (optional): Specify the associated department.
- Tasks (optional): Describe the tasks associated with the competency profile.
- Add competency: Choose from competencies already created.
- Create new competency : Create a new competency here if it does not yet exist in the system.
- Export and lock: You can export the profile as a PDF or lock it against accidental changes.
Language versions: Language versions for competency profiles can be activated by Evalea . When activated, an English language version must be available, which is displayed to employees if they have selected English as the language in their settings.

Click on “Save” to create the competency profile. It will then appear in the overview.
Target Values for Competencies in the Profile
After creating the competency profile, it is advisable to define target values for the individual competencies. These target values can be:
- Be shown for reference in the employee interview.
- Used in the Qualimatrix and the Qualimatrixgenerator ( Qualimatrix & Qualimatrixgenerator ).

Overview of Competency Profiles
In the overview you will find all created competency profiles with the following details:

- Profile name: Click on the name to open the profile.
- Creator: Shows who created the profile.
- Creation date: Date the profile was created.
- Assigned Employees: Number of employees assigned to this profile.
- Status information: Shows the status (e.g. “New”) if the profile was created by an employee (see Competencies ).
- Options: Access the profile, create a copy, assign to groups, or delete the profile.

Assigning Competency Profiles
There are various ways to assign competency profiles to one or more employees:
1. Assign individual employees:
In the employee profile you will find the "Competencies" tab. By clicking on the "+" symbol you can assign as many competency profiles as you like to an employee. The assigned profiles are visible in the employee's profile, including the rating scale and a graphical representation of the previous ratings.

2. Assign competency profile to a group:
In the competency profile overview, you can assign profiles to entire groups. After clicking on the assignment icon, you can add the competency profile to a previously created group. For more information on creating a group, see Groups .

3. Automated assignment through contact import rules:
Competency profiles can be automatically assigned to specific employees using the data field in the employee profile and a data import. You can configure the assignment according to the following pattern:
- Select rule: Select “Assign competency profiles”.
- Select competency profile: Select the profile or profiles to be assigned.
- Define target group: Specify whether the profile should be assigned to all or only certain employees.
- Filter Field: Specify the field in the employee profile that will be used for assignment.
- Specify criteria: Define which value must be entered in the field to identify the target group.

Example:
All employees who have the entry "Human Resources Department" in the "Department" field will receive the competency profile "Example competency profile" after the data comparison. For more information on the rules for contact import, see Rules for contact import .
Merging Competency Profiles
When combining competency profiles, the following provisions apply:
- Ratings will not be transferred if a completely new profile is created.
- Assessments are adopted when an existing profile is expanded by adding further competencies. In this case, the assessments from the original profile are retained.
Exporting Competency Profiles as PDF
Competency profiles can be exported and saved as PDF or printed directly.

- Open the desired profile and click on the PDF icon.
- Select “ Print to PDF ” as the destination to save the profile as a PDF.
- Click “ Print ” to complete the saving process.
Freezing of Competency Profiles
It is possible to freeze individual competency profiles to prevent unintentional changes. Clicking on the lock symbol locks the profile. Clicking again releases it for editing. This is particularly useful if managers are to create competency profiles independently that need to be protected from revisions.

Weighting of Competencies
Within competency profiles, individual competencies can be weighted differently.

You can then weight the individual competencies differently. Natural (decimal) numbers are accepted:
