Adjusting the rights of the participants

While editing a conversation guide, the access rights of the conversation participants can be defined for specific conversation elements and the conversation as a whole. This enables differentiated control of the reading rights and editing rights for both parties.

Rights to confirm an interview

If the interview should only be confirmed by one of the participants, you can make this setting in the header element of the respective interview. On the right side of the header element there is the option to set the confirmation rights and define the status of the interview.

Rights to view and edit individual interview elements

If certain conversation elements should only be edited by the manager and only viewed by the employee, you can adjust this within the element settings. For example, you can define elements in which the employee takes on the role of observer.

  1. In an interview item, select the gear icon to open the settings.
  2. In the element settings you will find the options for assigning access rights for the individual interview phases: Draft, Shared and Confirmed version.
  3. Define the rights so that only the desired party can see and/or edit the item.

Important: Don't forget to confirm the changes by clicking "Save Item".

Application example

  • Interview participants: Can edit their own draft version, view the shared version of the conversation, and finally view the confirmed version after the conversation has ended.
  • Chairperson: Has the ability to edit and view the entire draft of the conversation.

Both parties can complete the draft of the conversation and then compare the shared version. If agreement is not reached, the conversation participant can revise the draft and share it again. Once agreement is reached, the shared version is archived and remains visible to both parties.

Example of competency assessment

If a competency assessment is to be carried out exclusively by the manager and no self-assessment by the interviewee is required, the rights can be set so that only the interviewer can edit the element and the interviewee can only see the result.
