Workflows

Purpose of the report:

The "Workflows" report provides an overview of all ongoing and completed workflows. Each row represents a single workflow, including the answers to questions from the respective workflow template.


Report features:

  1. Workflow overview:
    1. Workflow ID: Unique identification of each application.
    2. Subject: Description of the application content.
    3. Status: Shows the current processing status (e.g. "In progress" or "Completed").
    4. Approval step: Indicates which processing step the application is in.
  2. Employee information: Shows relevant details about the applicant (e.g. name, department).
  3. Questions and Answers: Lists answers to specific questions from the template (if a template is selected).
  4. Export: Export as Excel file possible.


Settings in the Report Library

 

  • Open the report library
  • Within the “workflows” tab, look for the workflows report
  • Click on the “+” sign to create a new variant.

Creation of the Report

  1. Naming: Choose a meaningful name.
  2. Role definition: Determine for which roles the report should be available.
  3. Workflow templates: Select the workflow template to be displayed.
  4. Versions: Decide whether old or only current template versions should be taken into account.
  5. Questions and answers: Select which questions and answers to display (only possible if a template is selected).
  6. Filter workflows:
    1. Show all requests: Shows all requests regardless of role.
    2. Accessible requests only: Limits the view to requests from direct and indirect employees.
    3. Own involvement: Shows applications in which the viewed person is involved, regardless of access rights.
  7. Status filter: Determine which workflows (ongoing, completed) are displayed.
  8. Additional information: Add additional details from employee profiles.

  • Workflow management: Enables efficient overview and tracking of applications.
  • Process analysis: Identify bottlenecks in the approval process.
  • Role-based reports: Provides specific insights depending on role and area of responsibility
